    For our Facility Management division with the office at Krakowiaków 50 in Warsaw, we are currently looking for a talented candidate for the position of:

    Office Assistant/ Receptionist (0,63 FTE)
    Location: Warsaw
    Szamocka Street

    Key Accountabilities:

    • Efficient management of telephone calls
    • Management of incoming and outgoing correspondence
    • Take care of guests: invite to conference room, offer a beverage, call person waiting for visitor Management of company’s access cards: contact with property manager, registration and control over cards
    • Provide support for company meetings - booking and preparing conference rooms, assure water supply; ordering catering
    • Organizing business travel for all employees
    • Cooperation with couriers - ordering and receiving courier service; monitoring the timely delivery of shipments
    • Registering and archiving all Client’s Poland’s contracts
    • Work in Easy Procure and SAP systems - creating orders for administration, processing invoices
    • Allocate costs to individual cost centers Order an annual subscription for employees
    • Collaboration with translation companies
    • Comprehensive support labor offices in matters assistants if necessary (mailing, preparing and printing letters, copying, binding documents, ordering business cards, etc.)
    • Ordering office supplies, food and beverages
    • Contact with technical service: fault reporting
    • Cooperation with the cleaning service
    • Care for the appearance of the reception area and main lobby
    • Organize meetings outside the office if needed
    • Fleet management


    • Very good English language knowledge (business communication)
    • Have working knowledge of MS Office
    • Required to take proactive actions and make suggestions about improving general running of the department
    • Must have good attention to detail
    • Must be self-motivated and a good team player, used to frequently working without, or under little, supervision and confidentially
    • Builds good relationships, both internally and externally and has the ability to interact with internal and external contacts at a senior level.
    • Must be organized and methodical, with the ability to prioritize workload and duties
    • Good level of initiative required, in conjunction with the ability to prioritize and work calmly under pressure
