    We're looking for candidates for the position of:

    Office Coordinator
    Location: Poznań
    (Ref no: OC/08)


    Office Coordinator is responsible for creating great and positive environment for work by managing administration and organizational support for office and ensuring that our office operations run smoothly and are successful in supporting other business activities. Office Coordinator is also constantly looking for opportunities to improve the way our administrative activates works to make the office great place for work.


    • Responsible for day to day office activities
    • Ensuring right service and work closely with service providers (IT and other); e.g daily checking if network connection is up and running, access points and phones are working
    • Ensuring that the facility is operating safely and efficiently
    • Managing all the facilities and equipment (ensuring all equipment is available, eg. furniture, audio-video, projectors, phones, chairs, desks)
    • Facility ”help desk” (too hot or too cold, lights not working, coffee spills, vending machine problems)
    • Support for Internal meetings (ensuring all equipment is available and working for internal meetings, e.g space is prepared, mics and speakers are working)
    • Space allocation and coordination (ensuring the minimum amount of space to be provided per staff member); control the inflow of new people on-boarded
    • Periodically benchmarking and if needed re-tender contracts regarding office and other equipment (e.g. ensuring that location is most attractive, cheap and efficient in chosen area)
    • Taking care of offices aesthetics
    • Coordination of office events
    • Proper hosting and organization of visits for CSS visitors
    • Preparation and implementation of office administration related policies and procedures
    • Supervision of Receptionist work, including tasks distribution and performance control
    • Look for opportunities to improve the way our office activities works


    • Min. 3 years of relevant experience (facility/office coordination)
    • University degree
    • Highly motivated working in a multi-cultural and challenging environment
    • Good communication and interpersonal skills
    • Customer Service Focused
    • Self-motivating with a great deal of initiative
    • Prioritises own work in alignment with organizational goals and strategies
    • Enjoys working in a team environment
    • Experience in an international company
